1. Information we collect

When you join our contact list or contact us, we handle the information you provide, such as your name, email address and message. Age, gender and the message field are optional. We record a registration time and a receipt ID to prevent duplicate submissions.

Please do not include detailed medical information, diagnoses or another person’s personal information in the message field. Any information needed for a particular study is collected separately under that study’s information and consent procedures.

2. How we use information

• To send research recruitment notices you have requested and related communications
• To answer enquiries and handle registration changes or removal requests
• To operate the website, prevent abusive submissions and resolve technical problems

Joining the contact list is not consent to participate in a study. You may decide whether to participate after receiving an invitation. Contact-list information is not used as research data without a separate process.

3. Storage and safeguards

We limit handling to what is needed for these purposes and restrict access to responsible personnel to help prevent loss, misuse and unauthorised disclosure. The contact list is not published on this website.

We retain contact-list information while it is needed for recruitment notices and appropriately delete information that is no longer needed, including in response to removal requests. Information that must be retained under applicable laws or University rules is kept as required.

When the form’s storage integration is enabled, submissions pass through a Netlify server function and are stored using Google Apps Script and Google Sheets. These services may process information on servers outside Japan.

4. Sharing with third parties

We do not disclose personal information to third parties except with your consent, where permitted or required by law, or in other applicable circumstances. Where external services support website operation or storage, we limit the information handled to what is needed and take care to manage it appropriately. We do not sell contact details or provide them for advertising.

5. External services and cookies

This website is hosted by Netlify and uses Google Fonts, embedded Google Maps and icons delivered through cdnjs. Loading pages or these resources may send information such as your IP address, access time and browser details to the service providers. External services may also use cookies or similar technologies.

Linked websites follow their own policies. You can restrict cookies through your browser settings, although doing so may affect some features.

6. Removal, access and correction requests

To stop recruitment notices or leave the contact list, use the Research Cooperation form (Japanese). Enter the name and email address used for registration, and write “Registration withdrawal” (登録解除) in the notes and questions field. You do not need to enter age or gender.

For access, correction, restriction of use or deletion requests, describe your request in the same field. We will verify your identity and respond in accordance with applicable laws and University rules. Do not send identification documents or detailed medical information unless specifically requested.

7. Changes to this policy

We review this policy when our operations or applicable requirements change and publish updates here. Where needed, we will notify you or seek consent for material changes to the purposes of use.
